Position: Executive Assistant
Supervisor: Chief Executive Officer
Location: GLAD (Los Angeles)
Classification: Non-exempt, 100% FTE
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Under the direction of the Chief Executive Officer, the Executive Assistant:
- Provides administrative support services to CEO.
- Processes purchase orders for all GLAD offices including supplies, equipment and furniture. Works closely with Accounting on purchases orders and receipts.
- Answers and screens the CEO’s phone calls; coordinates and schedules appointments.
- Organizes and maintains office files.
- Maintains agency insurance certificates of liability. Works closely with HR on agency information for insurance renewals.
- Composes and types routine correspondence, memoranda, announcements, etc.
- Some interpreting/voicing for meetings with vendors and other business associates is required
- Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities; records and transcribes minutes of meetings.
- Reports to the CEO on operational activities on a daily basis.
- Performs such tasks and responsibilities as may be delegated.
QUALIFICATIONS:
- Bachelor’s degree and minimum of 2 years Executive Assistant or Administrative Assistant experience is highly desirable.
- Fluency in American Sign Language is required.
- Demonstrated proficiency in Microsoft Office programs, and excellent verbal and written communication skills are required.
- Must possess the ability to relate and be sensitive to deaf persons with varied communication skills and language levels, and be able to work with a diverse multi-ethic population.
- Must maintain the highest level of confidentiality. Demonstrated ability to perform professionally. Punctuality and reliability are a must. Must have ability to multitask and stay organized.
- Excellent interpersonal skills are required. Must maintain a cooperative relationship with consumers, co-employees, directors, and the CEO.
- As business needs require, employee’s schedule may be adjusted to ensure coverage for Deaf Expos and other deaf outreach events that occur on weekends.
- Must have reliable transportation and maintain up-to-date auto insurance.

Employee insurance plans are able to begin after the first 30 days of employment. Part time employees (employees regularly scheduled to work 19 hours per week or more) earn sick leave on a prorated basis based on regularly scheduled hours.
Salary Range: $28 – $31 hourly ($58,240 – $64,480 annually)
